Applied Behavior Analysis (ABA)

Applied Behavior Analysis (ABA)

ABA practice management — authorization tracking, session documentation, treatment-plan progress. Lives at /admin/aba.

Why ABA gets its own module

ABA practices have a fundamentally different rhythm from primary care:

  • Visits are recurring (often 3-5x/week per patient over 6-24 months).
  • Authorizations are unit-counted (X “behavioral units” per period).
  • Treatment plans evolve every 6 months with payer review.
  • BCBA + RBT roles have different documentation requirements.

The general scheduling + encounter model doesn’t fit cleanly; ABA gets a focused surface.

Auth & review

/admin/abaAuths — tracks every active ABA auth per patient × payer × period. Counts units consumed per session against the auth’s grant. Surfaces low-balance alerts (approaching exhaustion) and prep-for-review tasks at the 5-month mark on a 6-month auth.

Treatment plan + goals

Per-patient treatment plan with structured Goals (target behavior + baseline + target value + measurement method). Goals roll up into the periodic Treatment Plan Review document the payer requires for re-authorization.

Session documentation

ABA sessions are documented inline:

  • Session date + time + therapist (BCBA or RBT).
  • Programs run + data points collected per program.
  • Behaviors observed (target + replacement + interfering).
  • Parent / caregiver interaction.

The data collected feeds the Goal progress graphs without manual re-entry.

Billing

Units consumed → 837 claim with the right CPT (97153 / 97154 / 97155 / 97156 / 97157 / 97158 / 0362T / etc.) + duration modifier. Same scrubber pre-submit, same appeal loop for denials.

Why-trace audit

Every Goal advance + auth-unit consumption stamps a Why trace. ABA payers audit hard — this is what makes Pollen8 defensible under audit.
