A deployable AI-native practice-management + drafting platform for law firms, gated on the pollenix.legal entitlement. Same Core, same Why Engine, same per-call AuthContext — wrapped around a clinically-distinct data model for the legal domain.

What’s in the satellite

Practice management. Matters with status / matter-type / billing model, clients (individual + organization), parties with conflict-check, docketing with statute-of-limitations tracking, time entries with hourly + flat + contingency.

AI core. Firm-scoped Vault with hybrid retrieval (pgvector + tsvector + Reciprocal Rank Fusion). Assistant with inline [#N] citations grounded in the Vault. AI Drafter with CourtListener citation verifier (advisory). Practice agents (M&A, Litigation, Tax) that overlay posture-tuned prompts + scope the Vault by document classification.

Document operations. Workflows — Contract Q&A, Deposition summary, Document compare, Discovery triage — picked from the Vault or pasted ad-hoc. Templates with {{matter.field}} placeholders + {{narrative: ...}} blocks the AI fills from matter data. Custom workflows — tenant-defined linear chains of prompt steps. Pre-canned playbooks — NDA review, due-diligence request list, 50-state survey, negotiation review with fallback ladder.

Knowledge surface. Knowledge sources toggle — Vault, firm templates, federal caselaw via CourtListener. Citators — Westlaw KeyCite + Lexis Shepard’s BYO-key adapters that grade citation treatment (“good law”, “criticized”, “overruled”). Cross-vault analytics — ask “which matters have indemnity caps over $10M” and get a matter-by-matter answer with evidence excerpts.

Integrations. DMS adapters for iManage Work + NetDocuments. Word add-in + Outlook add-in — sideloadable Office.js task panes that surface the Assistant in attorneys’ actual drafting + correspondence tools. Slack + Microsoft Teams bots for channel-side legal Q&A. Email-to-Vault gateway — forward correspondence to matter-<NUMBER>@vault.<tenant>.pollen8.ai and it lands in the Vault.

Workforce. Matter-team ACLs enforce ethical walls on Vault reads — acl_mode='matter_team' docs are only visible to members of the source matter’s team. Per-firm fine-tuning snapshots Vault chunks into instruction JSONL, runs OpenAI fine-tuning, and the active model is used transparently by the Assistant + workflows. Voice input on the Assistant (Web Speech API).

Every assistant message carries a Why? button that opens the trace panel — retrieval breakdown, model, per-event timing, source counts. You can audit any answer back to the chunks that produced it.

What it isn’t

  • A practice-management replacement for Clio Manage at full scale. Pollen8 Legal owns the AI loop end-to-end; for billing / three-way reconciliation / IOLTA accounting features at large-firm depth, integrate, don’t migrate.
  • A consumer-facing legal-aid product. The full surface assumes a licensed attorney is the operator. The Why trace + citation grounding is what makes it defensible inside a firm.

Entitlement

Activate pollenix.legal on the License page or via the Pollen8 Marketplace SKU. Demo tenants (acme, demo) auto-grant every satellite — useful for sales walkthroughs.
